With headquarters in the heart of Toronto, Canada, the Canadian Musical Reproduction Rights Agency is a dynamic music licensing agency representing music copyright owners.
Our clients are music publishers and self-published songwriters who own the rights to the vast majority of songs recorded, sold, streamed and broadcast in Canada. Our team works diligently on behalf of our clients to negotiate licensing agreements, collect royalties from our licensees (Apple, Spotify, Amazon, YouTube, Facebook, Tik Tok, radio stations, major and independent record labels, and others) and to distribute those royalties.
Established in 1975 and having contributed to many transformative moments in the music landscape since then, CMRRA are the market leaders in Canada for physical and digital mechanical licensing. We’ve recently launched new international partnerships to collect digital mechanical royalties from the US and from numerous territories outside of North America too.

Position Scope:
The People & Culture Coordinator is responsible for the day-to-day administration of a range of human resources and office administrative functions. Areas of primary focus include payroll, record keeping, benefits administration, employee onboarding, health and safety, and office administration. The People & Culture Coordinator will also provide support, as needed, in the areas of recruitment, policies and procedures, training, and employee communications and support. They are committed to confidentiality, equity, and providing employee and administrative support which in turns ensures that CMRRA employees can continue to provide exceptional service to our clients.
Key Responsibilities:
Human Resources (approximately 75% of time)
Primary Responsibilities
• Payroll – Responsible for preparing and processing biweekly payroll (currently using UKG), including working with timesheets, processing changes to earnings, deductions and benefits, Record of Employment (ROE) administration, and ensuring that payroll system records are accurately recorded and cross-checked, with oversight from Sr. Director, People & Culture.
• Record Keeping – Ensures all employee personnel records are accurately entered and maintained in Human Resources Information System (HRIS) (currently using UKG) in a timely manner, and confidentiality is protected. Makes certain that records are maintained in accordance with legal requirements and company policies and procedures. Contributes to the systems, organization, and maintenance of all department files (digital and hard copy).
• Benefits Administration – Completes day-to-day benefits administration, including enrollments, terminations, changes, answering basic employee questions, and reconciling monthly invoices. Provides support to annual benefits renewal and open enrollment process, as appropriate, escalates issues to Sr. Director, People & Culture, and drafts/sends communications to staff.
• Employee Onboarding – Facilitates new hire processing, including but not limited to collecting and tracking receipt of new hire paperwork, coordinating process w/ managers and helping with scheduling, and enrolling employees in payroll and benefits systems as appropriate.
• Committees – Member of the Joint Health and Safety Committee (JHSC) and optional member of the Diversity, Equity, and Inclusion (DEI).
Supporting as Needed
• Recruitment – This could include preparing job descriptions and postings, posting roles, scheduling interviews, communicating with and screening applicants, supporting hiring managers in assessing applicants, completing reference checks, and application administration.
• Policies and Procedures – Participates in Employee Handbook annual review and update process including suggesting and researching revisions to policies and procedures for consideration.
• Training – Supports ongoing employee learning and development initiatives.
• Employee Communications and Support– Helps draft internal communications and responses to employee inquiries relating to company policies, programs and procedures, and distributing as appropriate.
• Other projects and duties as assigned.
Office Administration (approximately 25% of time)
• Manages assignment and tracking of staff security passes and keys.
• Maintains and orders inventory for office, kitchen and coffee supplies.
• Supports Executive Assistant & Lead Office Administrator including but not limited to:
- Monitoring and maintaining common areas (reception, mailroom, lunchroom) ensuring professional image consistent with CMRRA’s brand is maintained.
- Liaising with the building operations team for office essentials to include but not limited to: security, maintenance, elevator requests, facility concerns or complaints.
- Coordinating with vendors for goods and services that pertain to general office upkeep, compliance, maintenance, and operational services.
- Managing inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Coordinating with Technology department on office equipment and furniture.
- Helping with coordinating catering and meetings/events set up and clean up as needed.
• Other projects and duties as assigned.
Required Qualifications, Experience and Skills:
• Min. 1-2 years of People & Culture (or Human Resources (HR)) experience in a fast-paced environment
• Post-Secondary Education in Business or Human Resource Management, and/or equivalent relevant experience
• At least one year of experience working in payroll administration
• Experience dealing with confidential information with a high degree of diplomacy
• Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint)
• Excellent communication skills, both oral and written
• Demonstrated interpersonal skills including developing trust and professional relationships, and providing effective internal customer service
• Knowledge of current labour laws, Human Rights and Employment Standards
• Must have strong attention to detail, time management and organizational skills, and ability to work both collaboratively and independently
• Certified Human Resources Professional (CHRP) designation, or working towards
• Willingness to attend occasional ‘off hour’ events
Additional Assets:
• Exposure or experience working with Human Resources Information System (HRIS) or Enterprise Resource Planning (ERP) or other workforce management systems (eg. UKG)
